
1. Privacy Commitment At A V Techno Soft India Pvt. Ltd., we recognize the importance of protecting personal information and respecting the privacy of individuals whose data we process. This Privacy Policy explains how information is collected, used, stored, disclosed, and safeguarded when Users access or use EasyTimePay (ETP), a In-Premise as well as cloud-based workforce management and payroll software solution. This Privacy Policy applies to all products, services, websites, web applications, and mobile applications operated under the EasyTimePay brand. By accessing or using EasyTimePay Software or Mobile Applications, you expressly consent to the practices described in this Privacy Policy. This policy is incorporated into and subject to the applicable Terms of Use and contractual agreements entered into with Customers.
2. Applicability and Definitions
EasyTimePay is used by organizations (“Customers”) and their authorized personnel, including employees, contractors, and administrators (“End Users”).
Customers and End Users are collectively referred to as “Users”.
For the purposes of applicable data protection laws, including the proposed Personal Data Protection framework of
India and other applicable regulations, the Customer acts as the Data Controller for employee-related data
processed through EasyTimePay. A V Techno Soft India Pvt. Ltd. acts as a Data Processor, processing data solely on
behalf of and under the instructions of the Customer.
For information collected directly through our corporate website, marketing interactions, recruitment processes, or direct
communications, A V Techno Soft India Pvt. Ltd. acts as the Data Controller.
3. Information Collected EasyTimePay collects both non-personal information and personal information during the provision of its services. Non-personal information includes technical and usage-related data such as IP addresses, browser types, operating systems, device identifiers, access times, navigation paths, and interaction logs. This information does not directly identify an individual and is used for system performance, analytics, security monitoring, and service optimization. Personal information is collected when it is voluntarily provided by Customers or End Users or generated through the use of EasyTimePay services. This information may include, but is not limited to, names, gender, date of birth, nationality, employee identification numbers, job titles, departments, contact details, residential addresses, payroll and salary information, statutory and tax-related data, bank account details for salary processing, emergency contact information, attendance records, employment status, and system access credentials. All personal information is collected strictly for legitimate business purposes associated with workforce management, attendance tracking, payroll processing, statutory compliance, and customer support.
4. Attendance, Biometric, and Workforce Data
When enabled by the Customer, EasyTimePay processes attendance-related data, including biometric device logs,
web punches, and mobile-based check-ins and check-outs. This data typically consists of employee identifiers and timestamped
attendance records.
Such information is processed solely for attendance calculation, payroll generation, compliance with employment policies, and audit
requirements defined by the Customer. EasyTimePay does not independently determine attendance rules and processes such data
strictly in accordance with Customer configurations.
5. Live Location Tracking Services
EasyTimePay Mobile Applications may include a Live Location Tracking feature designed to support organizations with field workforce management,
operational monitoring, and attendance validation.
Live location data is collected only when explicitly enabled by the Customer and only after the End User has
provided informed and explicit consent within the Mobile Application. Location tracking is disabled by default and
cannot be activated without user acknowledgment.
Location data is collected strictly during official working hours as configured by the Customer.
EasyTimePay does not perform continuous or unauthorized background tracking outside approved time windows.
End Users retain the ability to withdraw consent at any time through application controls or device-level permission settings,
upon which location tracking is immediately discontinued.
The ownership and control of live location data rest entirely with the Customer. EasyTimePay acts solely as a service
provider and does not use location data for marketing, profiling, or unrelated analytics purposes.
The legal basis for processing live location data includes explicit user consent, contractual employment obligations, legitimate business interests of the employer,
and compliance with applicable labor and data protection laws.
6. Mobile Device Permissions
To enable specific functionalities, EasyTimePay Mobile Applications may request access to certain device features, including
location services, camera, storage, and device metadata. Such access is requested transparently and is limited to the functionality
required to deliver the service. Users may revoke permissions at any time through device settings.
7. Use of Information
Information collected through EasyTimePay is used to provide, operate, maintain, and improve the
platform; process attendance and payroll; ensure compliance with Customer policies; communicate with Users; provide
customer support; detect and prevent security incidents; and meet legal and regulatory obligations.
Personal information is not used for advertising or sold to third parties.
8. Information Sharing and Disclosure
EasyTimePay may share information with authorized third-party service providers and sub-processors who assist in delivering services
such as In-house Installation, cloud hosting, email communications, mapping services,
and customer support. All such entities are contractually bound to confidentiality and data protection obligations.
Information may also be disclosed where required by law, regulation, legal process, or governmental request, or where necessary to protect the rights, safety, and
security of EasyTimePay, its Customers, or Users.
9. Data Hosting, Deployment Models, and Security Measures
EasyTimePay Software is available in two deployment models: (i) Cloud-Based deployment and (ii) In-House (On-Premise) deployment at the Client’s server infrastructure.
For Cloud-Based deployments, all EasyTimePay data is hosted on secure cloud infrastructure located in India.
Appropriate technical and organizational security measures are implemented to protect personal information against unauthorized access,
accidental or unlawful loss, alteration, or disclosure. Such measures
include access controls, logical data separation, monitoring mechanisms, and security best practices consistent with industry standards.
For In-House (On-Premise) deployments, EasyTimePay is installed and operated on the Client’s own servers or
infrastructure. In such cases, the Client is responsible for the physical security, network security, server hardening,
access control, backups, and overall protection of the data hosted within its environment. A V Techno Soft India Pvt. Ltd.
Shall not be responsible for security incidents arising from the Client’s infrastructure, except to the extent caused by defects in the EasyTimePay software itself.
Access to personal data, in both deployment models, is restricted to authorized personnel only, who are trained in data protection principles
and bound by confidentiality obligations
While industry-standard security measures are applied, Users acknowledge that no method of data transmission or storage can guarantee absolute security, and
EasyTimePay cannot guarantee that unauthorized access will never occur.
10. Data Retention and Deletion
Personal information is retained only for as long as necessary to fulfill service obligations and comply with legal
requirements or as per Customer requirements. Upon termination of services by a Customer, an deletion process is initiated,
and Customer data is permanently deleted within fifteen (15) days, except where retention is required for legal, contractual,
or regulatory purposes. Aggregated and anonymized metadata may be retained for analytical and business continuity purposes.
11. User Rights
Where applicable, Users may request access to their personal information, correction of inaccuracies,
deletion, restriction of processing, withdrawal of consent, or data portability. Requests should be directed to the Customer administrator or, where applicable, to
appsupport@avtechnosoftindia.com. Requests are handled within reasonable timeframes and subject to legal limitations.
12. Third-Party Services
EasyTimePay may contain links to third-party websites or services. A V Techno Soft India Pvt. Ltd.
is not responsible for the privacy practices or content of such third parties.
13. Changes to This Privacy Policy
This Privacy Policy may be updated periodically. The latest version will always be available through official
EasyTimePay channels. Continued use of the services constitutes acceptance of the revised policy.
